Flexy Staff offers an efficient online platform that caters to both businesses and freelancers, ensuring businesses can maintain a fully staffed team while granting freelancers the flexibility they desire. This platform serves as a meeting point where clients and freelancers can easily connect and collaborate.

As a business client, you are in control of the hiring process. Once you post a job, you will pay the total fees, and shortly after, you’ll start receiving applications from freelancers. To make the best choice, you can compare freelancers based on various factors such as their profile, star rating, attendance percentage, motivation, and work experience. Once you find the ideal freelancer, a simple click will secure them for the job, effectively filling your rota.

After the shift or job is completed, the freelancer will submit the hours worked through the app. As the client, you have the opportunity to review and approve the submitted hours. Additionally, both you and the freelancer can rate and review each other, ensuring transparency and fostering a reliable network within the platform.

Freelancer Perspective – How Does Flexy Staff Work?

Flexy Staff provides a convenient online platform that supports businesses in maintaining a fully staffed team while granting freelancers the freedom to choose their working hours and locations. This platform acts as a marketplace where freelancers and clients can easily connect and find suitable opportunities.

As a freelancer, you have the flexibility to determine when and where you want to work. Once you are registered on the app, you can search for available jobs in your area or even find digital work that can be completed remotely. When your profile matches a posted job, you’ll receive a notification through the app (if enabled), and then you can apply for the job with just a simple click. It’s essential to ensure you are available for the shift if you decide to apply.

You can conveniently clock in and out via the app at the start and end of your shift. After completing the job, you’ll submit the hours worked through the app. The client will have the opportunity to review and approve the hours you submitted. Additionally, both you and the client can rate and review each other, promoting transparency and trust within the platform.

Responsibilities as a Business Client:

Flexy Staff streamlines the process of posting jobs for freelancers, offering one of the most user-friendly platforms available. As a job poster, you have a few responsibilities to ensure a smooth experience:

  1. Contact and inform the chosen freelancer about the job details, including any necessary briefings.
  2. Clearly specify the job’s location and time, as last-minute changes may affect the freelancer’s ability to work or require reimbursement for travel expenses. In such cases, it’s advised to communicate and reach an agreement with the freelancer.
  3. If you change your mind about a freelancer for a posted job, you can cancel without consequences before the cancellation period expires. After the expiration, cancelling a freelancer would result in them being entitled to claim 50% of the agreed hours for the job.
  4. Promptly review and approve the hours submitted by the freelancer through the app. Delayed approval may impact the freelancer’s payment and your rating on the platform.
  5. Payment processing is handled by Flexy Staff; all you need to do is pay the total amount displayed when posting the job.

Handling Freelancer Cancellations:

In case a freelancer can no longer work or fails to show up, there are two simple ways to handle this:

  1. If the freelancer can’t work the job but provides a suitable replacement, they must inform you before the job starts.
  2. If the freelancer can’t work and doesn’t provide a suitable replacement, you can report this, which will impact the freelancer’s attendance statistics on their profile. You have control over the data about freelancers, including their overall attendance rate.

Understanding IR35 and Responsibilities:

The IR35 legislation, effective from 5th April 2021 in the UK, determines whether temporary workers, including freelancers and sole traders, should be classified as “employed” or “self-employed” for tax purposes. As a business, you are responsible for determining whether your job falls inside or outside IR35.

To help you with this determination, Flexy Staff advises conducting the CEST (Check Employment Status Test) introduced by HMRC. This ensures that freelancers are paid correctly according to their employment status for the job they undertake.

Cancellation Policy:

Flexy Staff acknowledges that circumstances change, and both job posters and freelancers may need to cancel a job. The cancellation policy is as follows:

  1. Within the stated cancellation period (less than 24 hours before the shift starts), cancelling a job has consequences, potentially subjecting the job poster to 50% of the total shift pay (Terms and Conditions apply).
  2. More than 24 hours before the shift starts, cancelling a job has no consequences.
  3. If the cancellation period has expired, both job posters and freelancers can no longer cancel without consequences. In such cases, it is recommended to contact the matched freelancers to explore their availability for the job and, if appropriate, offer them a future replacement job.
  4. If the freelancer cancels after the cancellation period without arranging a replacement, it should be reported as “job not completed.”

By adhering to these guidelines and responsibilities, both businesses and freelancers can work together effectively and maintain a reliable and transparent platform on Flexy Staff.
